Refund & Withdrawal

It is your responsibility to drop an online course for which you are registered. If you do not follow the proper procedure for dropping a course, you will be charged for the course and will receive an “F.” There are NO EXCEPTIONS.

a. You may drop an online course by the following methods:
i. Portal.Midway.Edu: Attempt to drop your course using Portal.Midway.Edu first. Log in to Portal.Midway.Edu using your username and password. Follow the directions for dropping a course. Using Portal.Midway.Edu is the easiest and quickest way to ensure that your drop is processed in a timely manner.

ii. Email: Send an email with your request to registrar@midway.edu. Please include your name, student ID # and the number of the course you wish to drop. To receive a full refund, the drop is required within the first official week of the online course. The email must be received BEFORE midnight EST/DAYLIGHT TIME on the Sunday prior to the second week of the course.

iii. FAX: You may send a fax to the registrar’s office at (859) 846-5774. Please include your name, Student ID # (or social security number) and the number of the course you wish to drop. To receive a full refund, the drop is required within the first official week of the online course. The Fax must be received at the Midway College registrar’s office BEFORE midnight EST/DAYLIGHT TIME on Sunday prior to the second week of the course.

iv. Mail: Please send your request to: Office of the Registrar, Midway College, 512 E. Stephens Street, Midway, KY 40347. To receive a full refund, the drop is required within the first week of the online course. The letter must be RECEIVED at the Midway College registrar’s office BEFORE 5 PM EST/DAYLIGHT TIME on the Friday of the first official week of the course. Any mail received after this time will be subject to the terms in effect at the time it is received. There are NO exceptions.

v. In Person: Should you be on campus, you can stop by the registrar’s office and complete a drop card. To receive a full refund, the drop is required within the first week of the online course. The drop card must be RECEIVED at the Midway College registrar’s office BEFORE 5 PM EST/DAYLIGHT TIME on the Friday of the first official week of the course.

c. In a five-week course, the last time you can drop and receive a “W” is BEFORE the beginning of the 3rd week of the course. Please note, however, that there will be no refund after the beginning of WEEK TWO of the course. Students dropping a course after the 3rd week begins will receive an “F.”

d. In an eight-week course, the last time that you can drop with a “W” is BEFORE the beginning of the WEEK FOUR of the course. Please note, however, that for each week that you remain in the course, you will be charged an increasing amount for remaining in the course. Students dropping a course after the 4th week begins will receive an “F.”

e. In a 16-week course, the last time you can drop and receive a “W” is BEFORE the beginning of WEEK EIGHT of the course. Please note, however, that for each week that you remain in the course, you will be charged an increasing amount for remaining in the course. Students dropping a course after the 8th week begins will receive an “F.”

Other Important Details

In an instance in which it is necessary to withdraw from the College – regardless of the reason – the student must notify the registrar in writing. The date on which written notice is received (or post-marked, in the case of a withdrawal received by mail) shall be the official date of withdrawal for purposes of tuition refund, computation and recording of grades, and the date of record for purposes of financial aid refunds to the various sources. Any student withdrawing from the College must complete a withdrawal form and participate in an exit interview conducted by the Dean of Student Services or designee. Forms are located in the student services office.

Any currently enrolled student of Midway College who fails to register for the next regular semester of course work shall be considered withdrawn from the College. Any student considered to have withdrawn must be officially readmitted according to the procedures established through the admissions office.

Refunds are based on the date of official withdrawal, regardless of whether students attend any classes.

Fees: Application, late registration, graduation, vehicle registration, credit for prior learning portfolio assessment, and nursing clinical-additional days are non-refundable.
Board will be refunded in full from the date of withdrawal for the unused amount. A full day’s board is charged for any portion thereof.
Residence hall charges will be refunded 90 percent during the first week of classes. No refund is available after the first week.
Tuition payments will be refunded according to the following tables for students who have not received any federal financial aid:

Refunds and repayments involving financial aid will be handled in accordance with federal and state regulations and the institutional policy applicable to the situation. The distribution of Title IV financial aid funds will follow the federal regulations effective July 1, 2011. A copy of these policies is available for review in the business office.

Return of Title IV Federal Student Aid

If a student completely withdraws from school during a semester, a portion of the federal Title IV aid disbursed to the student must be returned to the financial aid programs. The percentage of Title IV aid required to be returned is based on the percentage of time remaining in the semester as of the student’s date of withdrawal. The amount of assistance that a student has earned is determined on a pro-rata basis. The college must determine the treatment of the student’s Title IV program assistance on a payment period basis. The percent of the payment period represents the percentage of aid earned by the student.

Funds will be returned first to the Title IV loan programs and then the Title IV grant programs in the following order:

Subsidized Stafford Loan
Perkins Loan
PLUS Loan
Pell Grant

Federal Supplemental Educational Opportunity Grant (FSEOG)
